aspects of the WebBooks system.

WebBooks is committed to safeguarding your privacy online. We have implemented numerous technical and administration measures to ensure that your data remains protected and secure. WebBooks will never sell or rent your personal information to any third party.

Please read the following policy if you would like to understand in detail how your personal information will be treated as you use the WebBooks program.

Overview

WebBooks has made the privacy and security of our customers’ data our top priority. We have set forth a very strict privacy policy, which is accessible from all parts of our web site, and which is supplied to all WebBooks employees.

1. What personally identifiable information does WebBooks collect from me?

To register for WebBooks’ services, you will be asked to supply the following:

In order to use WebBooks’ services, WebBooks requires that you provide the company or business name, address (street, town/city, state, post code), and a contact e-mail address. If you do not wish to provide this information, you will not be able to use WebBooks’ services.

If you contact WebBooks, we may keep a record of that correspondence. Wherever WebBooks collects personal information, we will include a link to this Privacy Policy on that page.

Please note, however, that, while WebBooks may sometimes supply aggregate traffic or behavioural data to third parties, we will never sell or rent any of the personally identifiable information that we collect from you. This data is stripped of all personally identifiable information. Thus, it contains no personal information about you that would allow third parties to identify you, have access to your financial data, or contact you by telephone, e-mail, or other means.

2. How does WebBooks protect the privacy of my data?                      

Only WebBooks customers or their specified accountant or bookkeeper can enter, edit, and use their data. This data is kept secure and private through the following means:

The WebBooks system employs 128-bit RSA secure-socket layer (SSL) data encryption—the same level of encryption required for online banking. Such 128-bit SSL encryption has never been broken, and would require a trillion-trillion years to crack using current and foreseeable technology, according to RSA labs.
WebBooks’ SSL-based network security is supplemented by additional security protections, including a Comodo Server ID, also known as a “digital certificate.” The certificate verifies that all data claimed to have originated from our site did, in fact, originate from that site, and that it has not been tampered with along the way. Also based on 128-bit encryption, this digital certificate can be neither forged nor decoded with current or foreseeable technology
These protections notwithstanding, WebBooks is careful to prepare for all foreseeable contingencies. WebBooks therefore automatically backs up all customer data every night, with back-ups stored on non-degradable media in a fireproof, off-site location, making it possible to restore customer data should the unthinkable happen and some portion of the WebBooks database be corrupted or destroyed.

3. How does WebBooks use my information?

WebBooks’ primary goal in collecting personal information is to provide you, the user, with secure and private individualized accounting services. The following points describe how we use this information.

Company/Business name and company/business address (street address, town/city, state, post code), are required for customer identification and for displaying the official business name on the customer’s financial reports as well as for following up on customer service or billing matters.
Contact e-mail address is used as a means to provide customers with information about any changes to or updates in the WebBooks services.
Contact name and contact phone number are used as a means of providing customers with information about any changes in or updates to the WebBooks services as well as for handling customer service inquiries, billing matters, and the like. ABN, ACN and Tax File Numbers are only used for printing on the customer’s financial reports and tax invoices.
Legal name and address(es) are used for customer identification and contact by WebBooks pursuant to customer services billing and related matters.

4. With whom does WebBooks share my information?                     

WebBooks will not disclose any of your personally identifiable information to any third party, except when specifically authorized by you.

5. How do I obtain access to my personal information?

Because all personal information is part of the individual account, any person who has been authenticated to access their own account will have access to their personal information as long as they have entered the correct user name and password.

6. What are my choices regarding collection, use, and distribution of my information?

WebBooks may, from time to time, send you an e-mail regarding our products and services. Only WebBooks (or agents working on behalf of WebBooks and under confidentiality agreements) will send you these direct mailings and only if you indicated that you do not object to these offers. From the beginning of the reception of such e-mails, there will be the option available to you of discontinue receiving such mailings.

7. What is WebBooks’ policy on allowing me to update, correct, or delete my personally identifiable information?

Your WebBooks account can be deleted or deactivated, but doing so will result in your not being able to access any area of WebBooks’ services. If you want to edit and/or change any part of your personally identifiable information other than the username, which cannot be changed without creating a new account, you can do so at any time by using your username and password to access your account. 8. How does WebBooks protect my financial information?                 

Keeping your financial information private is vitally important to us. Just as we safeguard all personally identifiable information, WebBooks will never rent or sell your personal financial information.

9. What security precautions are in place to protect the loss, misuse, or alteration of my information?

Your WebBooks financial information and WebBooks profile are password-protected so that only you, your accountant and your company's authorized users have access to this information. You may edit your WebBooks financial information and WebBooks profile at any time by using your user name and password.

We recommend that you do not divulge your password to anyone. WebBooks will never ask you for your password in an unsolicited phone call or in an unsolicited
e-mail. Also remember to log out of your WebBooks account and close your browser window when you have finished your work. This will ensure that others cannot access your personal information if you share a computer with someone else or are using a computer in a public place like a library or Internet cafe.

WebBooks may store your personal data in a location different from its physical offices. At present, all customer information is stored on servers located in a secure, fireproof building in South Australia. Whenever WebBooks handles personal information as described above, regardless of where this occurs, WebBooks takes steps to ensure that your information is treated securely and in accordance with the relevant Terms of Service and Use Agreement and this Privacy Policy.

WebBooks places top priority on the security and privacy of its customer data, and, as spelled out in WebBooks' Terms & Conditions, strives for the highest practicable degree of security. Be advised, however, that, for a variety of inherent technical reasons, no data transmission over the Internet can be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, WebBooks cannot absolutely ensure or warrant the security of any information that you transmit to us or from our online services, either during or subsequent to transmission. While we have designed our system to be extremely secure, you ultimately transmit such information at your own risk.
